Provision of data and secrecy

Parties will comply with the requirements of the General Data Protection Regulation (GDPR).

Relations and responsibilities

  • The work to be done by V.O. as ordered by Client, may imply the sharing of personal data of inventors, applicants, contact persons and other persons associated with Client or its representative. In order to properly fulfill its tasks, to render IP services as requested by Client and to meet applicable formal requirements, V.O. must sometimes process personal data of individuals related to Client.
  • Regarding the obtaining, defending, maintaining, assigning or commercializing of Client’s IP rights, Client authorizes V.O. to use relevant personal data in rendering IP services and to forward said data to official IP authorities or to foreign IP law firms engaged by V.O., whenever necessary to obtain, defend, maintain, assign or commercialize Client’s IP rights at home or abroad.
  • Data protection
    • V.O. has appropriate technical and organizational measures in place to protect personal data against theft and unauthorized use.
    • V.O. has appointed a Data Protection Officer, who can be contacted at dpo@vo.eu.
    • Personal data shall be kept for no longer than is necessary for the purposes for which the personal data are processed, taking into account regulatory retention periods.

Legal grounds for processing

Client and V.O. acknowledge that all data processing with regard to obtaining, defending, maintaining, assigning or commercializing Client’s IP rights, complies with rules imposed by official IP authorities, and that these data are necessary for the proper rendering of IP services.

Purpose limitation

  • V.O. will collect, store and process Client’s personal data solely for the sake of obtaining, defending, maintaining, assigning or commercializing IP rights on behalf of Client.
  • If Client’s order implies work in foreign jurisdictions, V.O. may have to engage foreign IP law firms with whom V.O. must share relevant data. Other than that, V.O. will not provide any personal data to third parties without the permission of Client, unless V.O. is allowed / obliged to do so based on another legal ground.

Cookies

The V.O. website uses cookies. On the website, visitors can choose which category of cookies to accept. Visitors can select whether to accept analytical cookies, conversion tracking cookies, and/or remarketing cookies. Visitors can also refuse the cookies. In that case, only necessary cookies will be placed to ensure the website functions properly. If no choice is made, the question remains visible, and the website will be visited with only necessary cookies.

Necessary cookies:

Google Analytics (_ga)
To monitor the website statistics, V.O. uses the Google Analytics service. To this end, V.O. has entered into a data-processing agreement with Google. In compliance with the GDPR requirements, the following measures have been taken to use the service:

  • The last octet of the IP address is masked.
  • The data sharing setting is disabled.

This way, no personal or company data is collected or stored. The anonymized data is stored in Google Analytics for 26 months.

Piwik Pro (_pk_id, _pk_ses, ppms_privacy)
To monitor the effectiveness and statistics of the website, V.O. uses the Piwik Pro service. This allows us to see how visitors interact with our website and how we can improve it. When only necessary cookies are accepted, the data is anonymized and stored for only 30 minutes.

  • _pk_id: Always set and stored for 30 minutes for anonymous visitors. This is a first-party cookie from the Tracker (JS tracking client).
  • _pk_ses: Always set and stored for 30 minutes. This is a first-party cookie from the Tracker (JS tracking client).
  • ppms_privacy: Always set and stored for 12 months. This is a first-party cookie from the Consent Manager.

Microsoft Dynamics (msd365mkttr, msd365mkttrs)
To ensure the functionality of our forms, cookies from Microsoft Dynamics are placed. These cookies track whether you have visited a specific page, how long you spent there, and what actions you took (e.g., which form you filled out). The data is only stored for the duration of the session.

Microsoft Clarity (ANON, MUID)
To analyze which pages are visited on the website and how visitors interact, V.O. also uses Microsoft Clarity. This tool allows V.O. to analyze website behavior and create heatmaps of website pages. The data collected in Microsoft Clarity is kept for 1 year.

Conversion tracking cookies:

Facebook/Meta pixel (_fbp)
To understand the statistics of our ads on Facebook and Instagram and to remember which pages you have visited from these channels, V.O. uses the Facebook pixel. This enables V.O. to display advertisements to previous website visitors through Facebook or Instagram. The data is stored in Meta for 90 days.

LinkedIn Insights (_li)
The V.O. website uses the LinkedIn Insights tag. This tag allows V.O. to show website visitors relevant advertisements on the LinkedIn platform. The obtained data is completely anonymous and is stored for 30 days.

Remarketing cookies:

Google Ads remarketing (_ads)
To provide you with relevant content and advertisements after you have visited the website, V.O. also uses remarketing through Google Ads. By using the Google Marketing Platform remarketing tag, V.O. can see which pages you have visited during your session. This enables V.O. to show advertisements to previous website visitors through Google Ads. The data cannot be linked to personal or company data. The data is stored in Google Ads for 90 days.
